Riemer Systems’ Portable Electronic Control Boxes [PECB] with Tracking Software was developed and designed specifically for Long Term Care Pharmacies or facilities when used in conjunction with TS-TEK data collection and materials management Web-Based applications. They offer your pharmacy an affordable answer to complying with the standards of practice and federal regulations for nursing facilities set forth by the Drug Enforcement Administration and the Control Substance Act of 1970.

Which of your products are HIPAA compliant?

For HIPAA compliance, the patient information needs to be protected so you will want to choose a White, Frosted, or Wood Grain door.

What is the difference between the lock options?

All our locking cabinets and lock boxes come standard with the self-locking lock, but you can choose the manual/shared use lock upon purchase for no extra charge. The audit trail lock can be purchased for an additional charge. When it comes time to choosing a lock, you have three choices:

#1 Self-locking

The self-locking lock has a spring-loaded latch, so the user can simply close the door and automatically lock the box. The self-locking lock is ADA compliant.

#2 Manual/Shared Use

The Manual/Shared has two built-in features: (1) Manual Mode, and (2) Shared Use. The manual mode requires the user to rotate the lock knob to the locked or unlocked position. If the shared use is selected, the lock allows for shared/daily use that enables a revolving user code, so that multiple users can use the lock without having to reprogram the lock each time. This is a great option for healthcare providers who have high turnover, have doctors and nurses sharing a lock box on different shifts, or have patients who want to lock up their valuables.

#3 Audit Trail Lock

For healthcare providers who need complete access control and accountability, the Audit Trail lock provides a time and date stamped record of access. The Audit Trail lock is easy to use, install, and maintain. Each lock can hold up to 20 unique four to eight-digit user codes. It provides a 1,500-event rolling audit trail. Best of all – programming of the audit trail is excel-based, so there is no confusing software to learn or worry about! Data is transferred via a USB to a computer with Microsoft Excel.

How do I set the user code for the lock?

For your convenience, Riemer Systems provides downloadable copies of our specification sheets. The specification sheets are categorized by product. Each document has multiple products listed within – they are designed to be universal. If you cannot find something within the specific product specification sheet, please contact us for additional questions. We are happy to help and want you to be satisfied with your purchase.

How do I clean the lock box and/or locking cabinet?

Our wall-mounted locking cabinets are made of PVC (i.e. polyvinyl chloride), while our portable lock boxes are made of White PVC High-Density Polyethylene (HDPE). Ensure that the cleaning products used are safe and recommended for such material.

To start, clean the locking cabinet and box by following the steps below:

  1. Remove all items from the locking cabinet and/or lock box.
  2. Dust the box with a light microfiber cloth.
  3. Use a damp cloth to remove dirt, grime, or other materials off the surface.

To disinfect and sterilize, the procedure will vary from facility to facility. Disinfectant wipes are a quick and easy way to disinfect and prevent cross-contamination between patient rooms. Some facilities may allow disinfectant wipes with hydrogen peroxide, isopropyl alcohol, or bleach. For example, AANA recommends wiping small surfaces with 70% isopropyl alcohol to reduce bacterial contamination.

To disinfect and sanitize, follow the steps below:

  1. Select a non-abrasive, FDA or EPA certified detergent or chemical spray.
  2. Use the selected disinfectant wipe or spray disinfect on surface and let rest for the necessary amount of time as directed by the packaging.
  3. Wipe down surface and allow time to dry.

As a best practice, AANA also recommends taking proactive measures to prevent materials from by inadvertently contaminated by blood or other airborne debris. In the case of anesthesia carts, a clean covering can be placed on top of the cart at the beginning of each case.
